Cargo Document 

Whenever a vessel arrives at Load \ Discharge Port, many documents are asked.

Below are List of few documents which a chief mate can prepare before arriving at Port. 

Proper Cargo Documentation is very vital as:

  1. They are used for calculation of Dummerge and Dispatch.
  2. They will used in case there is any Cargo Claim.
  3.  They can be used in case of Insurance Claim.

Cargo Document at Load Port

  1. Ship Particular
  2. Notice of Readiness (click here)
  3. Re Tendered Notice of Readiness (if issued)
  4. Any Message \ Mail from Charterer
  5. Owner Instruction if any at Load port
  6. Proposed stowage plan
  7. Last Three Cargo
  8. Vessel Experience Factor
  9. Ullage Report (Initial and Final ullage Report)
  10. Dry Tank certificate ( Before loading)
  11. Tank Cleaning Procedure (If tank cleaning done) 
  12. UTI certificate ( UTI used for ullaging and cargo calculation)
  13. Slop Certificate (Before and After loading)
  14. Ballast Certificate (Before and After)
  15. Any Letter of Protest (click here)
  16. After Load Stowage Plan
  17. Early Departure Procedure (EDP) (if applicable) 
  18. Declaration of security

Chief Officer should received  below document from Surveyor and  Loading Master.  

  1.  Statement of Facts
  2. Ullage Report (Before\After\ Intermediate)
  3. Tank Inspection certificate.
  4. Material Safety Data sheet (MSDS)  (click here)
  5. Certificate of Origin 
  6. Quantity Certificate
  7. Quality Certificate
  8. Sample certificate 
  9. Document Receipt

Cargo Document at Discharge Port

  1. Ship Particular
  2. Notice of Readiness (click here)
  3. Stowage Plan
  4. Bill of Lading 
  5. Re Tendered Notice of Readiness (if issued)
  6. Any Message \ Mail from Charterer
  7. Owner Instruction if any at discharge port
  8. Last Three Cargo
  9. Pumping Log 
  10. Vessel Experience Factor
  11. Ullage Report (Before Discharge)
  12. Tank Inspection Report or Dry Certificate.(Empty Tank certificate)
  13. Tank Cleaning Procedure (If tank cleaning done)
  14. UTI certificate ( Same used at Load Port)
  15. Slop Certificate (Before and After discharge)
  16. Ballast Certificate (Before and After discharge)
  17. Pumping Log (Rate Log\ Manifold Pressure)
  18. Any Letter of Protest (if issued at discharge port).
  19. Declaration of security

Loading Master\Surveyor will ask Chief Officer for below documents from Load Port.  

  1. All load Port documents 
  2. Load Port Surveyor \ Loading Master Statement of Facts
  3. Ullage Report (Before\After\ Intermediate)
  4. Tank Inspection  certificate (If applicable)
  5. Material Safety Data sheet (MSDS)  
  6. Certificate of Origin 
  7. Quantity Certificate
  8. Quality Certificate
  9. Sample certificate
  10. Document Receipt

Chief Officer should received  below document from Surveyor\ Loading Master  after Cargo Discharging.

  1. Statement of Facts
  2. Ullage Report (Before\After\ Intermediate)
  3. Tank Inspection  certificate
  4. Sample certificate 
  5. Document Receipt

Notes:

  1. Loading Master\ Surveyor will asking for all the above documents, So copies should be made for them.
  2. All documents should be scanned and emailed to Agent, Office and Charterer etc.
  3. If any documents is missed, it should be immediately informed to AGENT, Owner and Charterer etc.
  4. During Chief officer change, Incoming chief officer (click here) should                                                                                  1) ask where are the cargo documents kept  2) where are Scanned copy of old cargo documents kept in computer. 
  5. Relevant Log book (click here) entries should be made.
