Checklist for Handing over \ Taking over of Master
Handing Over and Taking Over is a critical thing for safe operation of ship.
A "officer or Cadet "should make a ship specific register so that your notes will be with you for future Use also.
As " OVERALL IN CHARGE" of a ship, Taking over Master can consider below points.
- Charterer Party Requirement ( Print out\ softcopy in which folder)
- Important Folder and files in computer (Location in computer)
- Copy of ship particular
- Vessel on Voyage or Time charterer
- Special instruction from Charterer or Owner
- What is the current Voyage Number
- Cargo onboard \ stowage
- Hold\ Tank cleaning (any instruction)
- Next Voyage (any instruction)
- Port rotation (if any)
- Passage Plan (if prepared)
- Where are Folder of NOR, LOP and Port Paper in computer.
- Cash Onboard
- Master locker ( Location and Pin)
- Keys (BNWAS, ODMES, VDR , Annex 1 overboard etc )
- Daily Reporting (work done)
- Monthly and Quarterly Paper work
- Password ( Master computer, CCR computer etc)
- Any defects in Bridge equipment (any Mail sent to company (date and to whom)).
- Crew Recreation ( Monthly amount and onboard money)
- Advance given if any
- Bond Inventory
- Rest hours
- Stamp (How many and kept where)
- Official Record book ( kept where)
- Things \ documentation to do when crew sign on and sign off
- If any short forms used in emails ( what are those).
- How to raise CTM
- Agent details for current port and next port
- Any dispensation
- Bond Inventory
- What is the name of Marine Superintendent.
- What is the name of Technical Superintendent.
- How often superintendent has to visit the ship
- What is the name of Classification society
- Is vessel Dual Class (If Yes) : Name
- In which folder updated OCIMF HVPQ kept

- Was the vessel detained, if "yes" why and where is the record kept
Ship Certificates (click on me) and Initial Certificate (click here)
- How many certificate files are there.
- Is certificate file Index been maintained
- Check that all the statutory certificates should be in file and are valid for 6 months (annual and intermediate surveys are carried and endorsed as required).
- Check that all Mandatory, Class, Trading and other certificate are filed in Certificate file
- Which all certificate will be expiring in next 6 months
- Has Company been informed about the expiring Certificate (If yes when was email sent and to whom, follow up from company)
- Is Engine Room (Part I) is correctly completed and duly signed
- Cargo (Part II) Oil Record Books (ORBs) is correctly completed and duly signed
- Cargo Record Books is correctly completed and duly signed
- Check that
- there is any disparity between the capacities/location of sludge and bilge tanks designated in Form B of the IOPP Certificate and those listed in the ORB Part I
- If the disposal of engine room oily water or sludge to a cargo or slop tank has taken place, (recorded in both Oil Record Books, was the receiving tank free of cargo and have the transfer arrangements been approved by class)

Bunker
